Terms and Conditions of Booking

Instant-Rooms.com is a trading name of ASLA Ltd (hereafter called Instant-Rooms.com), a company registered in England and Wales registration number 2596234). Any bookings made through our web site are subject to your acceptance of the terms and conditions outlined below.

Payment

Online bookings (credit or debit cards):
Payment in full is required at time of confirmation. This will be at time of booking for instantly available hotels. Payment is possible by credit card (Visa, Mastercard or Amex) or debit card (Delta). All payments will be debited from your card in the currency selected. In the case of failed credit card transactions we reserve the right to cancel unpaid services and all vouchers will be null and void.

Credit Card Security

On the advice of our credit card authorisation company, we are occasionally required to request a signed credit card authorisation form and a photo copy of your passport for identification purposes. This measure is in place for your own security and protection against fraudulent use of credit cards.

Internal Flights, Rail and Sightseeing

When providing any internal flights, rail or sightseeing we are acting as agents to the principal. Please refer to your voucher for details.

Cancellations

Cancellation fees for groups will be advised upon confirmation.

Ukraine Hotel Moscow

• $25 per room up to four days prior to arrival.
• 100% if cancelled three days or less prior to arrival.
• Except exhibition period 2007 (19-31 March, 22-28 April, 12-17 November) when 100% cancellation fee applies at all times.

Goa Hotels (November to January)

• 100% cancellation once confirmed and paid.

Other cancellation fees for individuals are charged as follows (in selected currency)

• Up to 72 hours prior to arrival: $25/ €25/£15 (unless stated otherwise)
• 0-72 hours prior to arrival: One night accommodation charge
• During stay: An amendment fee will be charged. According to the terms of the hotel, we reserve the right to charge one night accommodation fee . We will, however, endeavour to have such fees waived by the hotel if possible. This depends on hotel and occupancy levels at the time.

Please refer to your voucher for any special cancellation terms or conditions. For cancellation purposes, arrival is defined as 18.00hrs on day of arrival in hotel (local time).

Visa support is non refundable and subject to 100% cancellation charge.
Hotel booking fees are non refundable.
Rail tickets are non refundable and subject to 100% cancellation charge.
Transfers are non refundable within 72 hours of arrival and subject to 100% cancellation charge.

All cancellations must be notified to Instant-Rooms.com in writing and must have been acknowledged by us.

Amendments

Amendment fees are charged as follows (in currency selected):

• $10/ €10/£7 per amendment. Where amendments involving cancellations are made, relevant cancellation charges will also apply.
• $10/ €10/£7 per amendment for transfer changes made within 48 hours of arrival.
• Passenger name changes incur no charges.

All amendments are subject to availability. All cancellations must be notified to Instant-Rooms.com in writing.

Delivery Fees

Rail and air tickets should be collected from our local offices.
Delivery to central city hotel can be made for an additional USD 15.
Delivery to airports/rail station incurs the applicable transfer fee plus USD 15.
Courier deliveries will be quoted on a current fee basis.

Booking Deadlines

Instant-Rooms.com is able to accept online bookings up to 1 day before check in, except after 2.00pm friday and on Saturday and Sunday, when we can only accept reservations for the following Tuesday and beyond. Same day bookings may be made only by telephone to a call centre.

Additional Hotel Charges

You must make payment for all services that are not included on your voucher (e.g. meals, phone call charges, laundry and mini-bar) directly to the hotel prior to check out.

Errors

Instant-Rooms.com cannot be held responsible for any costs incurred as a result of incorrect dates or data input by the client. It is your responsibility to supply the correct dates and information for all services requested and to check the booking summary and voucher.

Consent

By consenting to our terms of booking, you confirm that you are at least 18 years of age.

Passports and Visas

Passports and visa are your responsibility. Visas are required for ALL travellers to Russia.
We offer a service on the Instant-rooms.com web sites for you to obtain visa support letters for Russia.
This service is free when you book your hotel accommodation through us. Visa support will be issued only for the dates you have booked your accommodation for.
Visa support documents are required to apply for Russian visas from your preferred Consulate.
Please check with your local consulate for full details of current requirements and charges.

For UK based clients, we also offer a postal visa service to obtain Russian visas.

Please note that only the Consulate of Russia has the authority to grant visas and the granting of a visa is entirely at their discretion. Issue of a visa support does not guarantee granting of a visa.

Force Majeure

Instant-Rooms.com shall not be liable for any failure or delay in performance of its obligations which results directly or indirectly from any cause or circumstance which is beyond its reasonable control. Without limit to the generality of the foregoing, the following shall be regarded as such circumstances: acts of God, outbreak of hostilities, riot, civil disturbance, acts of terrorism, revolution, the act of any government or authority, fire, flood, lightning, explosion, fog or bad weather, interruption or failure of a utility service (including but not limited to electricity, gas, water or telecommunications), renovations undertaken by the hotel, or strikes.

Changes To Your Reservation

If we or the hotel causes any change to your travel arrangements within seven days of arrival and after confirming a requested service, we undertake to offer a similar or superior standard of accommodation without additional cost to you, or a prompt and full refund of all monies paid. In the highly unlikely event that it is not possible to provide accommodation of a similar or superior standard, we will offer compensation of $50 (or equivalent in currency selected) per person and prompt and full refund of all monies paid, unless the cause is by reason of force majeure.

If you fail to provide your correct email address and telephone number with country code, we cannot be held responsible for your failure to receive documents and messages concerning the status of your reservation. We reserve the right to cancel reservations when we are unable to contact you if necessary.
